Our AI agents check applications for missing documents, coordinate record updates across departments, track deadlines and prepare correspondence and procurement documentation.
They handle these workflows inside your existing case management, registry and document systems, helping your team process cases faster while keeping decisions and approvals with public officials.
From incoming forms to ready-to-review applications.
AI agents read forms, scans and photos, extract key information and check it against application requirements. They request missing documents and organize each file so your team can review it and make a decision.

INSIDE A PUBLIC ADMINISTRATION
Custom agents, built for every
department of the administration.
We don't deploy generic software. We design AI Agents around the processes, tools and people of each function, then connect them where it matters. Click any department to explore.
Citizen Service & Triage
Inquiries answered, routed and tracked, in every channel.
Agents take calls, e-mails, portal messages and letters, classify each inquiry and route it to the department that owns it, answer the routine ones from approved content in the resident's language, book appointments and send status updates before anyone has to call back. Counter staff keep the conversations that need a person.

Case Management & Decisions
Files opened, progressed and closed, with the reasoning on record.
Agents open the case, pull what is already held in the registry, benefits and records systems, keep progress and statutory deadlines visible, assemble the evidence and draft the decision with its reasoning. The determination and the signature stay with the case handler, and every step is written to the audit trail.

Benefits & Claims Processing
Claims assessed, entitlements calculated, payments on time.
Agents take the claim, review the supporting documents, verify eligibility against the rules in force, calculate the entitlement, prepare the payment and schedule the periodic re-assessment. Cases that need judgment are flagged and explained instead of joining the same queue as the rest.
Automation potential70–80%

Permits, Licensing & Authorizations
Applications checked, consultations run, permits issued and renewed.
Agents validate the application and its attachments, run the eligibility checks, coordinate the consultations with the other departments, draft the decision, collect the fee and update the public register, then track renewals before they lapse. Objections and refusals go to a person.
Agents process registrations and de-registrations, record civil status events, issue certificates and extracts, run identity and anti-fraud checks at the assurance level the service requires and keep the registry audit log complete. Biometric enrollment stays at the counter, where it has to happen.

Records & Document Management
Everything classified, retained to schedule and findable.
Agents classify incoming documents against the records schema, digitize legacy paper, enforce retention and destruction schedules, redact sensitive content and assemble transparency releases, so a request for a file is answered in minutes instead of weeks and nothing is kept longer than the law allows.
Agents assemble the tender documents from the requirement, publish the notice to the national portal and TED, structure the bids received for the evaluation panel, document the award file so it survives an appeal, onboard the supplier and monitor contract performance. Evaluation and award stay with the panel.

Finance, Budget & Treasury
Invoices matched, budgets tracked, the close ready for audit.
Agents process incoming invoices against commitments and orders, track allocations and commitments through the year, take citizen payments, prepare statutory and EU funds reporting and assemble the close with the evidence attached, so controllers explain the numbers instead of collecting them.
Inspections planned by risk, findings tracked, remediation closed.
Agents plan and schedule field inspections by risk, run the compliance checklists, register findings from internal and external audits, chase remediation plans to closure and administer conflict-of-interest declarations. Ethics and integrity cases stay with the people who are meant to handle them.

Legal, Contracts & Transparency
Requests answered on time, agreements in place, obligations tracked.
Agents handle data subject requests end-to-end, review transparency requests for what can be released, maintain data processing and inter-agency sharing agreements, scan new legislation for what it changes and prepare council and committee papers. Legal opinions and litigation stay with the lawyers.
Agents build case-handler rosters against demand, administer leave, prepare payroll, process pension and retirement files and keep training and certification records current. Recruitment, appraisal, promotion and disciplinary decisions are high risk under the EU AI Act and stay with your managers.
Service desk answered, access reviewed, integrations watched.
Agents answer and resolve service desk tickets, provision access and run the periodic reviews, monitor data quality and the interfaces between registry, case, records and financial systems, maintain the once-only exchange and keep the AI system inventory and its conformity evidence current.
Agents run inside your infrastructure, on-prem, private cloud or hybrid. No data leaves your network without your approval. No dependency on us: it runs on infrastructure you control. The agent is yours to run, permanently.
You pay for the process automated, not consulting hours. If a process proves non-automatable, a voucher covers the next one.

Answers before the first call: the questions digitalization offices, IT departments and Amtsleitung ask us most.
How does the EU AI Act apply to the agents you build for us?
Annex III classifies as high risk the AI systems used to determine eligibility for public assistance benefits and services, and those used by public authorities to evaluate applications. So those agents assemble, check and draft, and the determination and the signature stay with the case handler, with human oversight designed into the workflow rather than added on top. We keep the system inventory, the technical documentation, the logs and the oversight evidence alongside the agent.
Do we need to replace our case management, registry or document system?
No. Our agents sit on top of the case management, civil registry, document management and financial systems you already run and treat them as the systems of record they are. Where an integration does not exist, agents operate through the same interfaces your staff use today.
Inside your environment by default: on-prem, private cloud or your own hybrid setup. Resident data, case files and registry records stay within your perimeter, and access follows the same roles and information barriers you apply to people. If an external model provider is part of the design, we name the provider, the data involved and the contractual basis for it.
They measure technical automation potential: how much of the human work in a process is technically automatable at full deployment with clean, integrated data. They are not a forecast of headcount reduction and not a promise of realized savings. Work that has to happen in person, and decisions the law reserves for a human, are not counted.
We do not automate them. Under the EU AI Act, screening applications, evaluating performance and deciding on promotion or termination are high risk and require human oversight. Agents handle rosters, leave, payroll, pensions and training records; the decisions about people stay with your managers.
How do you price, and how long does it take?
Fixed price per end-to-end process, agreed before the work starts, which is the shape a tender can evaluate. If during delivery we determine a process cannot be automated, you receive a voucher to automate a different process instead. Our fastest projects go live from 12 weeks; the plan for yours comes out of discovery, because it depends on the process and the systems it touches. Your procurement timetable is worth starting alongside discovery rather than after it.
